Terms of Service

These terms apply when you book or receive service from Service First HVAC Solutions ("we," "us," "our"). By scheduling a job, accepting a quote, or paying an invoice, you're agreeing to what's below. Plain language — no fine print games.

1. Who we are and what we do

Service First HVAC Solutions is a residential HVAC contractor serving Oxford, Brant, Norfolk, and Elgin Counties in Southwestern Ontario. We install, repair, and maintain furnaces, air conditioners, heat pumps, water heaters, and related gas and refrigeration equipment. We are a licensed Ontario gas technician. Business Number 778758979.

2. Quotes and estimates

Quotes are based on what we observe on site. If we uncover something during the work that materially changes the scope (a hidden leak, a part that's worse than visible, a code issue requiring fix), we stop and discuss before continuing. You always approve cost changes before they're incurred. Quotes are valid for 30 days unless otherwise noted on the quote document.

3. Diagnostic charge

A flat diagnostic charge of $99 applies when we attend your home to diagnose a problem. If you accept the repair we quote, the diagnostic charge is credited against the repair cost (reduced to $49 or waived entirely depending on the scope — your invoice will show which). If you decline the repair, the $99 stands as compensation for our time and expertise.

4. Payment terms

Invoices are due upon receipt of completed work. Accepted payment methods:
  • E-Transfer to [email protected] (preferred — no fee)
  • Credit card via our secure online payment link (a 3% processing fee is added)
  • Cheque, payable to Service First HVAC Solutions
  • Cash

Overdue invoices (more than 30 days past the invoice date) may be subject to a 1.5% per month service charge. We'd much rather just hear from you — if something's tight, call us and we'll work something out.

5. Cancellation and rescheduling

Please give us as much notice as possible if you need to reschedule. Cancellations made less than 4 hours before the scheduled appointment window may be subject to the $99 diagnostic charge to cover dispatched time.

6. Warranty

Parts we install carry their manufacturer's warranty (typically 1-10 years depending on equipment). We honour those warranties as the installer. Labour is warranted for 30 days from the service date — if the same problem recurs in that window, we return at no labour cost. Damage caused by misuse, lack of maintenance, power events, or third-party tampering is not covered.

7. Access and safety

You agree to provide safe access to the equipment, a working light source if relevant, and to disclose any known hazards (asbestos, mould, biohazards, aggressive pets, etc.) before work starts. We reserve the right to suspend work if unsafe conditions are discovered and to charge for time on site to that point.

8. Limitation of liability

We carry liability insurance and stand behind our work. Our total liability for any single service is limited to the amount you paid for that service. We're not liable for indirect, incidental, or consequential damages (e.g., spoiled food, hotel stays during outages) except where required by Ontario consumer-protection law.

9. Right to refuse service

We may decline or terminate service for safety reasons, unsafe behaviour, or non-payment of past invoices.

10. Privacy

How we handle your personal information is covered in our Privacy Policy. Short version: we keep what we need to serve you, we don't sell your data, and we follow Ontario privacy law.

11. Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein.

12. Changes to these terms

We may update these terms occasionally. The "Last updated" date at the top of this page changes when we do. Existing jobs already booked are honoured under the terms in effect when you booked.
